CoBroker Privacy Policy

What CoBroker is

CoBroker is a tool run by and for the STAREB broker chapter to help member brokers submit and organize listings through Facebook Messenger. It is not a public real estate listing portal — listings are shared on the chapter's own board, which is reachable by link rather than advertised to the general public.

What information we collect

• Basic Messenger info, automatically: when you message CoBroker on Facebook Messenger, Facebook provides us your sender ID, username, and display name for that conversation.
• The text of your messages: we store the full text of what you send us, including any listing details you describe.
• A display name and PRC license number you type in yourself: during onboarding we ask you to type the name that should show on your listing and your PRC license number. These are exactly what you type — we do not verify them against any PRC registry, and we do not ask for or process a photo or scan of your PRC ID.
• Photos of the property you're listing: if you send us photos of a listing, we store them and show them on the STAREB board and your own listing page. We remove location and camera metadata from photos before storing them. We do not analyze or interpret the contents of any photo.
• Listing details extracted from your message: property type, location, price, size and similar fields — including any contact name, phone number and email address that appears in your message or in a flyer you send. These are pulled out by an automated extraction step (see "Third-party processing" below), and contact details are shown on the published listing so other brokers can reach you.

How consent works: two separate decisions

Before anything you send is published, CoBroker asks for consent in two parts, tracked as two separate decisions in our records:

1. Private storage — saving your submitted info and draft listing so we can prepare it.
2. Board publication — publishing your listing so it becomes visible to the STAREB board (see "Who can see published listings" below).

Today, a single "Continue" tap during onboarding confirms both at once — the prompt tells you up front that continuing means we'll save your info and show the listing to STAREB board members. If you decline, nothing is published and your draft is withdrawn.

Third-party processing: OpenAI

CoBroker uses OpenAI to process text on your behalf in two places: (1) when we extract structured listing details out of the message you sent us, and (2) when another broker searches the STAREB board, your published listing's details may be sent to OpenAI as part of answering that search. In both cases, the text involved is limited to your message or listing content — it is sent to OpenAI for processing and is subject to OpenAI's own data handling practices as our processor.

Who can see published listings

Once you consent to board publication, your display name, PRC licence number, contact details and listing details appear on the STAREB board, which is reachable by anyone who has the board's shared access link. Your listings also appear on your own broker listings page, which is reachable by anyone who has its address. Neither is gated behind individual broker logins — access is controlled by who has the link, not by a per-member account system, and a link can be forwarded to anyone.

We ask search engines not to index these pages, but that is a request search engines choose to honour, not a guarantee. Please treat a published listing — including your name, PRC licence number and contact details — as visible beyond the STAREB chapter.

Data retention and deletion

We keep your messages, draft, and (if published) your listing for as long as your CoBroker/STAREB relationship is active. Our system has an internal "deleted" state defined for onboarding records, but as of this writing there is no automated, self-service way to trigger it from Messenger or anywhere else in the product — deletion today is a manual process. If you want your information removed, contact us using the details below and we will handle it manually.

Cookies and tracking

This website does not use tracking cookies or client-side analytics. CoBroker's internal admin dashboard uses a login session cookie for staff authentication, which is unrelated to your use of Messenger or the STAREB board.

Legal basis

CoBroker processes personal information in accordance with the Philippine Data Privacy Act of 2012 (RA 10173). We collect only what is needed to prepare and, with your separate consent, publish your listing to the STAREB board.
